How to Check Steel Pipes Upon Delivery

Date:2026-10-27    keywords: steel pipe delivery inspection, steel pipe receiving inspection, steel pipe inspection checklist

When steel pipes arrive, check the delivery against the purchase order (PO): quantity, pipe type, grade, dimensions, product markings, required quality documents and any visible transport damage. If anything does not match, record it with photos and written notes and contact the supplier promptly.

Treat this as a steel pipe receiving inspection, not a full quality inspection. Its purpose is to confirm that what arrived is what you ordered and to document any problem while the shipment is still in front of you.

1. Check the Delivered Pipes Against the Purchase Order

Start with the PO, not the supplier’s packing list. The PO states what you agreed to buy. The packing list only states what the supplier says was shipped. Check each of these items:

Quantity and bundles: the actual number of pipes and bundles received
Pipe type and grade: for example, seamless or welded, and the specified material grade
Outside diameter, wall thickness and length: as ordered
Product standard and special requirements: any standard, supplementary requirement, end finish or coating named in the PO

Use a simple comparison table at the receiving point:

Item PO Requirement
Packing List
Actual Delivery
Match?
Quantity / bundles

Yes / No
Pipe type

Yes / No
Grade

Yes / No
Outside diameter

Yes / No
Wall thickness

Yes / No
Length

Yes / No
Product standard

Yes / No
Special requirements (end finish, coating, etc.)

Yes / No

Dimensional tolerances, sampling rates and acceptance criteria are not universal. They depend on your purchase contract, the applicable product standard or an inspection plan agreed with the supplier. Check against those documents rather than a general rule of thumb.

If the PO is unclear on any of these points, see our guide to the steel pipe purchase order for what it should specify.

2. Check Pipe Markings and Required Documents

Markings link the physical pipe to the paperwork. Depending on the applicable standard and contract, pipe markings may include:

Steel grade
Size or specification
Product standard
Heat number
Manufacturer name or mark

Marking requirements differ between product standards, so use the standard and contract as your reference, not a generic list.

Match the pipes to the documents. Compare the markings on the pipes with the PO, the packing list and the mill test certificate (MTC) or other quality documents your contract requires. The information on the pipe, such as grade, size, standard and heat number, should be consistent with what each document states.

Check that the required documents are present. Confirm that every document the contract calls for has arrived, such as the packing list, the MTC and any other certificates specified in the PO. At delivery, you only need to confirm that each document exists and corresponds to the pipes you received.

If markings, documents and pipes disagree, for example a heat number on the pipe that does not appear on the certificate, do not guess at the cause. Record the mismatch and ask the supplier to verify it in writing.

3. Look for Visible Shipping Damage

Walk the shipment before unloading where possible, and look for:

Rust or unusual surface changes: obvious corrosion, staining or surface marks
Dents, bending or other visible deformation: along the pipe body
Damaged pipe ends and bevels: crushed, burred or deformed ends that could affect welding or joining
Coating damage (where applicable): scratches, peeling or exposed areas on coated pipe
Packaging, strapping or count irregularities: broken straps, loose bundles, torn wrapping or bundles that look disturbed

When you find a suspect area, photograph it, note where in the shipment it was found, and record how many pipes appear affected. Then assess it against the contract and the applicable standard.

Be careful about conclusions. Light surface rust or minor marks are not automatically grounds for rejection, because what is acceptable depends on the contract and the standard. Equally, a clean surface does not confirm that a pipe is acceptable. A visual check is not a substitute for dimensional, mechanical or non-destructive testing.

4. What If the Delivered Steel Pipes Do Not Match the Order?

If something does not match, follow these steps in order:

Record the details. Note the affected specification, quantity and product markings.
Take photographs. Capture the problem area, the overall shipment and the relevant labels or tags.
Keep the paperwork. Save the PO, packing list and all quality documents received.
Report to the supplier. Send a specific description of the discrepancy with your photos and documents attached. Be factual and exact, for example, “bundle 4 is labeled as OD X but measures Y,” rather than “wrong pipes.” Check whether your contract sets a deadline for reporting discrepancies.
Agree a resolution under the contract. Depending on your terms, options may include re-inspection, replacement, additional supply or another agreed remedy.

Do not assume the whole shipment must be rejected in every case. The right response depends on the nature of the discrepancy, how many pipes are affected and what your contract provides. Keep disputed pipes separate and identifiable where practical, and avoid cutting or using them until the supplier has responded, unless your contract or site safety requires otherwise.
